Transparent Relocation Terms, Transit Liability Guidelines, Payment Policies & Moving Rules
Service Agreement & Terms and Conditions
Please review these operational guidelines carefully prior to booking your relocation with LEO PACKERS AND CARGO MOVERS.
1. Contract Formation & Quotation Validity
By accepting a moving estimate or paying an advance booking deposit to LEO PACKERS AND CARGO MOVERS, the client enters into a binding service agreement. All written quotations are valid for 30 calendar days from the date of issuance and are formulated strictly on the inventory items, pickup/drop access conditions, and floor levels declared during initial survey. Additional unlisted items added on moving day will be subject to proportional cubic feet (CFT) tariff adjustments.
2. Booking Deposit & Payment Milestones
To ensure systematic fleet reservation and crew deployment, payments must adhere to the following milestones:
- Booking Token: A nominal advance (typically 10% to 20%) is required to lock moving dates and dedicate container vehicles.
- Dispatch Milestone: 70% to 80% of the contract value is payable upon completion of packing and loading into the container truck.
- Delivery Balance: The remaining balance must be cleared prior to unloading and final delivery placement at the destination doorstep.
3. Customer Responsibilities & Declarations
The client is responsible for ensuring the following pre-move preparations prior to the arrival of the packing crew:
- Cash & Valuables: All physical currency, gold/precious jewelry, original academic degrees, title deeds, and passports must be personally retained by the client.
- Appliances: Refrigerators must be emptied, defrosted, and cleaned 24 hours prior to loading. Air conditioners, geysers, and water purifiers should be uninstalled by certified technicians.
- Society Permissions: The client is responsible for obtaining society gate passes, elevator usage permissions, and parking authorizations at both origin and destination properties.
4. Transit Insurance & Limitation of Liability
All-Risk Transit Insurance is strongly advised for all intercity relocations and is underwritten by national general insurance providers. The policy covers vehicular road accidents, collision, fire, and structural damage during highway transit. Liability exclusions include: items packed by the client without supervisor inspection, internal mechanical/electronic failure without external physical damage, and natural atmospheric wear-and-tear of antique furniture. Any damage claims must be noted on the delivery receipt and reported within 48 hours with photographic evidence.
5. Rescheduling, Cancellation & Refund Policy
We understand plans can change unexpectedly. Our transparent policy is structured as follows:
- Free Rescheduling: Permitted with at least 48 hours prior written notice, subject to vehicle availability on the revised date.
- Cancellation (48+ Hours Notice): 90% of the advance booking token is refunded (10% retained for administrative charges).
- Late Cancellation (<24 Hours Notice): The booking advance is non-refundable to offset vehicle mobilization and labor allocation costs.
6. Transit Timelines & Force Majeure Exclusions
Delivery timelines shared in quotations are estimated based on normal highway operating conditions. LEO PACKERS AND CARGO MOVERS shall not be held liable for delivery delays arising from events beyond reasonable operational control (Force Majeure)—including severe monsoon flooding, landslides, highway blockades, civil strikes, national transport strikes, state border octroi disputes, or governmental transit curfews.
7. Prohibited & Hazardous Goods Clause
Clients agree strictly not to load or hand over any hazardous or illegal cargo—including LPG cooking cylinders, firearms, explosives, acids, flammable oils, living animals, plants, or contraband. The client assumes full legal and financial responsibility for any penalties, impoundments, or vehicle damage caused by the undisclosed carriage of prohibited items.
8. Dispute Resolution & Legal Jurisdiction
Any dispute, controversy, or claim arising out of or relating to this moving contract shall first be resolved through good-faith mutual discussion. In the event arbitration or legal proceedings become necessary, both parties explicitly agree that the dispute shall be subject exclusively to the competent courts of jurisdiction in Bhubaneswar, Odisha.
